Organize your mailbox with Urban Seller. You will be able to filter the emails, assign labels for easier identification, apply actions automatically based on the conditions chosen and etc.
To set your Message Rules and Priorities, follow the few steps below.
1. Log in to your Urban Seller at https://login.app.urbanseller.com/
2. Go to Settings or gear icon > Message Rules & Priorities > Create New Rule
3. Edit the Rule
Name - Name of the rule
Description - Brief description of what the rule is for
Applies this rule for - Choose your target account
Message discovery conditions - A rule may contain more than one condition. This will make the rule cover a wider range of email instances.
Assign actions to take - Contains actions that can be applied to the filtered messages
Add label - You can categorize your emails with labels so that you can see at a glance what types of emails are coming into your inbox. Choose among the pre-set labels or you may create a new one.
e.g. Identify incoming emails as eBay customers, Amazon customers, etc.
Add note - Set a personalized note on a filtered email.
e.g. You may use it as a form of communication to a team mate who is also handling the same inbox. It may also work as a reminder for any update or changes in your operating procedures.
Auto Respond - A useful feature which you can set to send generic responses.
e.g. "Out of the office" auto response is very useful during Holidays or weekends when your office is closed. This will set proper expectations to your customers.
Assign to - Filtered emails can be assigned to a specific team mate. The assignee will be able to view the emails assigned to him on the Home Page.
e.g. Customer inquiries have different concerns. Some companies have a specific team mate in charge for a certain kind of concern. Use the Assign To feature to easily divide the work load among the team.
4. Click Save
5. Arrange the Rules created according to priority. Click on Reorder, and drag the rule to rearrange the ranking.
